Blue Evolution seeks an experienced Executive Coordinator to support company-wide administration for a distributed office. Reporting to the CEO, the Executive Coordinator will administer key systems and operations central to Blue Evolution’s efficiency, cohesion and responsiveness, while also assisting with targeted activities carried out by the CEO. The Executive Coordinator will support a growing team of professionals active in aquaculture operations as well as food manufacturing and sales to complete a range of administrative duties, including payroll-related activities and recordkeeping as well as managing a modern digital office place with tools such as Google Suite. The Executive Coordinator will also assist the CEO in facilitating corporate-level activities (such as weekly Operating Board meetings and quarterly Board of Director meetings) and responding to investment, marketing, communications, and account acquisition-related requests. This position is located in a shared office space in Sausalito, California.
Lead front-office responsibilities, including answering and relaying incoming calls including customer service responses and correspondence, receiving packages and physical mail, and managing and shipping samples and marketing materials.
Manage Blue Evolution’s digital office place, including Google Suite, Box, Zoom, and other cloud-based software.
Manage Blue Evolution’s physical office space related to purchasing of equipment and supplies and physical corporate record-keeping for food safety compliance and other needs.
Administer insurance and Worker’s Compensation policies, benefits, and reporting as needed.
Support financial recordkeeping, including managing reimbursements, overseeing bookkeeping, and supporting payroll and invoice fulfillment.
Support company-wide HR needs, including onboarding, familiarizing and ensuring employee compliance with corporate practices and policies, and benefits administration (health insurance, paid time off, etc.).
Facilitate Blue Evolution events, including in-person employee gatherings, and provide support as needed with in-person local or California-based marketing efforts.
Support the CEO on specific activities and projects, including facilitating regular Operating Board meetings, all-staff calls and annual performance evaluation processes; assisting with media and investor relations as needed; and implementing brand strategy.
Manage company and CEO calendars, travel booking.
Actively participate as a member of a small, dynamic team focused on changing the world through seaweed.
Assist in sales efforts by coordinating tradeshow activities, sending out samples and distributor paperwork including purchase order fulfillment and sales invoicing and billing activities.
Skills and Experience of the Ideal Candidate
BSc/BA plus five years’ relevant experience
Proven experience in managing administrative functions across a company or department with experience in the Consumer Packaged Goods or food ingredient space a plus
High degree of comfort in a computer-based environment and proficient in MS Office, Google Suite, and/or other cloud-based business platforms
Familiarity with financial management practices
Comfort with and experience in facilitating group phone calls and large meetings
Strength in multi-tasking, goal-setting, workload prioritization, and project management
Excellent organizational abilities
Clear communication skills to enable collaboration with remote staff, customers, and investors
A team player willing to be proactive in improving his/her performance as well as the company’s
Knowledge of or willingness to learn about seaweed, aquaculture, food systems, and consumer health
Ability to work full-time based out of Blue Evolution’s Sausalito, California office
Spanish language a plus
